Inventory & Operations Manager
\nAbout the role
\nYou own inventory accuracy across Amazon (FBA and AWD) and ShipBob, and you track every
\nshipment from the factory floor to the shelf. That means daily inventory and velocity reporting, the
\nreorder plan, freight and customs paperwork, supplier payments, and fixing anything that goes missing
\nin between.
\nYou report to the Director of Operations. You recommend reorder quantities and flag problems early;
\nfinal order decisions sit with the Director.
\nWhat you'll do
\nDaily inventory and reporting via AI
\n• Update the daily inventory dashboard before the start of business: Amazon AWD and FBA inbound,
\navailable and reserved stock by SKU and kit, and ShipBob available and inbound stock by
\nwarehouse (TN and CA), with case packs converted to units.
\n• Track daily sales velocity for DTC (ShipBob orders, with kits split into their components) and Amazon
\n(7-day units), and keep the 14-day velocity history and days-of-stock calculations accurate.
\n• Call out big day-over-day swings in stock or velocity.
\nReorder planning via AI
\n• Maintain the reorder sheet and flag SKUs that hit "order now" thresholds.
\n• Keep lead times, MOQs and in-production units current for every SKU, so reorder quantities reflect
\nwhat is actually coming.
\nShipments and freight
\n• Keep a master shipment log of every PO and transfer (supplier to warehouse, ShipBob to Amazon,
\nwarehouse to warehouse) with ETAs, tracking numbers and status, so nothing inbound or delayed
\ngets missed.
\n• Track sea, air and domestic LTL/FTL freight using the right reference for each party (broker load ID,
\ncarrier PRO number, B/L, PO).
\n• Confirm packaging type (parcel, palletized, floor-loaded), pallet counts, weights and delivery
\nappointment needs before freight ships.
\n• Keep signed BOLs and seal numbers on file for every freight delivery.
\nImports and customs
\n• Prepare and check commercial invoices and packing lists, including correct US HTS codes, importer
\nof record details, FBA Shipment IDs and ASINs.
\n• Collect signed and stamped documents from suppliers (such as letters of guarantee) and confirm
\nB/L and ISF details match the booking.
\n• Meet freight forwarder and customs document deadlines, which are often same-day or next-day.
\nShipBob • Create and monitor warehouse receiving orders (WROs), making sure each one matches how the
\nfreight is actually packed.
\n• Send the weekly inbound update to the ShipBob account rep.
\n• Request and track kitting and case-breakdown orders through completion.
\nAmazon
\nused.
\n• Create and track FBA and AWD inbound shipments, and coordinate prep center shipments where
\n• Create removal orders (including AWD to ShipBob) and open Seller Support cases when the
\nstandard flow is blocked, such as for inactive ASINs.
\nSuppliers and payments
\n• Coordinate with overseas and domestic suppliers on production timelines, shipping documents and
\nhandoffs to freight, mostly through Alibaba chat.
\n• Reconcile every supplier payment (Alipay card links and wires) against its PI, keep a running
\npaid-down balance per order, and independently confirm there is no overpayment before the next
\npayment goes out.
\nDiscrepancies and claims
\n• Reconcile discrepancies such as AWD shipments that get redirected or disappear, receipts that don't
\nmatch POs, and units stuck in transfer, and escalate them quickly.
\n• File and follow up on lost or damaged shipment claims with Amazon, ShipBob and carriers through
\nresolution.
\nRequirements
\n• Strong Google Sheets skills, including formulas, cross-tab references and keeping a shared
\ndashboard from breaking.
\n• Hands-on experience with Amazon Seller Central inventory tools (FBA, AWD, inbound shipments,
\nremoval orders, SKU-level data).
\n• Experience with ideally ShipBob (receiving orders, inventory by warehouse, kitting).
\n• Experience sourcing on Alibaba or managing overseas suppliers and freight forwarders.
\n• Working knowledge of import paperwork: commercial invoices, packing lists, bills of lading and HTS
\ncodes.
\n• Comfortable reading freight documents (BOLs, PRO numbers, broker load IDs) and tracking
\nLTL/FTL shipments.
\n• Very high attention to detail. One wrong cell changes reorder decisions, and one wrong payment can
\noverpay a supplier.
\n• Comfortable with a daily early-morning schedule and spotting problems without being told where to
\nlook.
\nNice to have
\n• Experience with Grok Bot / AI enable tools• Experience with DTC or Shopify brands.
\n• Comfortable working with Chinese-speaking suppliers and forwarders, including WeChat and
\ntranslated threads. Mandarin is a plus.
\n• Experience pulling compliance documents (COAs, test reports, certifications) from suppliers when
\nAmazon requests them.
