Magnolia Acres Assisted Living Facility (ALF) is looking for an Assistant Administrator to support the daily operations of our community in Englewood. You’ll work closely with the Owner/Administrator to support residents and families, guide staff, maintain accurate records, and keep the community prepared for inspections and emergencies.

This is an on-location, hands-on role for someone who can solve problems calmly, follow through on time-sensitive commitments, and help create a welcoming home for residents and staff.

What you’ll do

• Coordinate staff schedules, timecards, coverage, onboarding, and day-to-day follow-up.
• Support resident admissions, appointments, transportation, activities, and family communication.
• Create and maintain resident and employee records, training documentation, incident reports, and required logs for completeness.
• Support medication-order communications with authorized staff, pharmacies, and providers; flag discrepancies for appropriate clinical follow-up. E-MAR experience appreciated but not required
• Help prepare timesheets and payroll information, track supplies, and communicate with vendors.
• Lead emergency drills, severe-weather preparation, and response when needed.

What you bring

• Assisted living or senior-care experience: At least 2 years in assisted living, senior care, or a closely related setting.
• Leadership experience: Experience and comfortability coordinating shifts, training or coaching staff, resolving coverage problems, and following up when work is incomplete.
• Strong documentation skills: Ability to maintain accurate resident and personnel records, track training and screening documentation, and prepare for inspections.
• Lead with heart: Communicate respectfully with residents and families, protect privacy, recognize concerns, and escalate them promptly.
• Organization and technology skills: Comfort with schedules, spreadsheets, email, direct messaging systems, electronic records, and timekeeping systems.
• Availability: Ability to respond to occasional evenings, weekends, or emergencies. Some emergency situations may require overnight coverage or assistance evacuating residents during natural disasters.
• Florida eligibility and training: Ability to satisfy applicable background-screening and training requirements for the duties assigned.

Required qualifications

• Assisted Living Facility CORE Training Certification
• Bachelor's degree or similar experience
• Cleared and active AHCA background check
• Regularly reliable transportation
• Active CPR certification
• Current physical and TB shots
• Medication Technician (Med Tech) certification preferred
